It’s refreshing when businesses think creatively about their staffing needs, exploring nontraditional options in their hiring. Refreshing, but also a little daunting as this search for a part-time Administrative Assistant illustrates!
These two small businesses work collaboratively in consulting for other entrepreneurs. Each company needs someone to provide 10 hours per week in administrative support. Since it’s very tough to find a permanent employee who only wants to work so few hours per week, they have elected to combine their staffing needs into a multi-company job share.
That’s a great idea and a creative approach! What complicates the search from my standpoint is that each of the two small businesses has different needs in terms of skill sets.
- One company needs a strong administrative support professional: preparing letters, memos, and similar documents in Word; creating spreadsheets in Excel that involve simple business formulas, charts and graphs, filtering and sorting data, customizing page setup, and perhaps pivot tables; designing Powerpoint presentations; and utilizing Outlook for business calendar management. In addition, bookkeeping tasks will include accounts payable and accounts receivable in Quickbooks.
- The other company, a computer consulting firm, needs a level 1 Help Desk professional. This person will troubleshoot hardware and software issues by phone and by email. Technology expertise should include Windows operating systems, Microsoft applications, desktops and mobile devices. Will primarily support individual users, rather than companies. So terrific communication skills must blend with the product knowledge.
For the ideal candidate, this will be a fun and challenging opportunity assisting two growing small businesses!
The challenge is finding someone who can work 2 five-hour days per week in Glen Ellyn, then 2 five-hour days per week in Elgin, with a reasonable commute to each location. The bigger challenge is finding someone with the complex skill set (administrative support + full-charge bookkeeping + help desk experience) whose long-term priority is part-time hours and for whom this would be a reasonable commute. I’m only partly jesting when I say in my ads that we’re looking for someone with a superhero cape!!
